Job Summary:
The Office Manager is responsible for the overall management of the office/clinic. Well versed in billing, collections, compliance, electronic health records, credentialing and human resource management. Have an understanding of accounts payable and accounts receivable and perform basic day-to-day accounting functions. Must be able to maintain a positive attitude with the ability to multi-task. Have a friendly, welcoming, and professional demeanor with excellent communication and management skills. Strong interpersonal skills and a focus on creating an excellent patient experience.

Job Responsibilities
- Manage all aspects of staff schedules: scheduling, punctuality, time off
- Manage and direct staff in day-to-day operations
- Oversee daily reconciliation of payments
- Submission of claims
- Payments by health plans
- Supervise bank deposits and receipt verification
- Review and manage delinquent accounts
- Submit invoices/statements to accounting to be paid
- Oversee and manage appropriate inventory of office supplies
- Address operational issues (i.e. Patients, Staff, Vendors, Service Providers/Techs…)
- Understand the process of entering and retrieving data in the EHR
- Track and retrieve data to produce reports from the EHR (monthly or as needed)
- Coordinate Doctors schedules
- Build Doctors schedules in the EHR
- Assist to ensure regulatory compliance with State and Federal regulations (I.e. HIPAA, OSHA, MIPS, Credentialing)
- Order and supervise maintenance of facility and equipment in cooperation with Practice Administrator.
- Attend and participate in regular scheduled management meetings.
- Conduct regular staff meetings to establish training, communication, and maintain accountability levels for staff.
- Work with team to set and assign performance goals.
- Ensure department execution of operating policies to support overall practice mission and objectives
- Review, update and publish price lists at least annually
- Assist with Human Resource functions
- Coordinate and track employee requests for time off
- Review applications and participate in interviews
- Receive new employee forms and paperwork for personnel file
- Help with and/or conduct orientation and staff training
- Be accessible for staff concerns, suggestions, complaint
- Perform other duties as required
Skills & Qualifications
Job Requirements:
- Minimum High School Diploma; Associates Degree or higher is preferred
- Minimum of Two (2) years of previous management experience; 5+ years of experience in the operation of a medical practice is preferred
- Strong leadership skills and outstanding customer service skills
- Excellent computer skills
- Must be available to work a 40 hour work week (At times may be required to work beyond 40 hours).
