Responsibilities

Payroll Preparation:
· Collect and verify employee timecards or attendance records.
· Calculate hours worked, overtime, and any other relevant payroll data.
· Collaborate with the finance department to process payroll accurately and on time.
· Address payroll-related inquiries from employees.
Accounts Receivable (A/R) Reporting:
· Maintain accurate records of customer invoices, payments, and outstanding balances.
· Generate A/R reports, aging summaries, and reconciliation statements.
· Communicate with clients regarding payment status and resolve any discrepancies.
· Collaborate with the accounting team to ensure timely and accurate financial reporting.
General Administrative Tasks:
· Answer phone calls, greet visitors, and manage correspondence.
· Schedule meetings, coordinate calendars, and arrange travel logistics.
· Organize and maintain files, documents, and office supplies.
· Assist with data entry, record keeping, and document preparation.
· Handle incoming and outgoing mail and packages.
· Order supplies for all offices.
· Support other team members as needed.

Skills & Qualifications

High school diploma or equivalent; additional education or certification is a plus.
· Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
· Strong organizational skills and attention to detail.
· Excellent communication (both written and verbal) and interpersonal abilities.
· Ability to multitask, prioritize, and meet deadlines.
· Discretion and confidentiality when handling sensitive information.
· Familiarity with basic accounting principles (especially related to A/R) is beneficial.
